Data Deletion
Last updated: 25 October 2026
Vaalo is a CRM operated by Vertex Loop Pvt Ltd, incorporated on 25 August 2026 in Chennai, Tamil Nadu, India. This page explains how to request deletion of personal data held in Vaalo, what is deleted, what must legally be retained, and how long deletion takes.
1. Who can request deletion
- Vaalo account holders: the business/workspace owner or admin, for their workspace account data and everything inside the workspace.
- Leads and customers: people whose details a business captured into Vaalo (through lead forms, WhatsApp, Instagram, calls or manual entry). Vertex Loop processes this data only on that business's instructions, so the fastest route is to contact that business; if that fails, contact Vertex Loop directly and we will route and confirm the deletion.
- People who connected through Meta: anyone whose data reached Vaalo from Facebook Lead Ads, a Facebook Page, WhatsApp or Instagram can request deletion from Vertex Loop directly, whether or not they have a Vaalo account.
2. How to request deletion
- 1. Send a deletion request: Email hello@vertexloop.in with the subject line "Data Deletion Request".
- 2. Include your details: Include your full name, the email address and/or phone number the data is held under, the name of the business/workspace concerned (if known), and where your data came from (for example a Facebook lead form, WhatsApp, Instagram, or a Vaalo account).
- 3. Identity verification: We may ask for reasonable proof that the data is yours before deleting it. This protects people from fraudulent deletion requests.
- 4. Right to data copy: You may also ask for a copy of your data before it is deleted.
3. Removing Vaalo's access on Facebook
- In Facebook: Go to Settings & privacy > Settings > Apps and Websites, select Vaalo and remove it. This stops future data sharing from Meta to Vaalo.
- Deleting existing data: Removing the app on Facebook does not delete data already stored in Vaalo. For that, send the deletion request email described above.
4. What gets deleted
When a verified deletion request is processed, the following categories of data are permanently removed:
- Account data: names, emails, phone numbers, and roles of workspace staff.
- Lead and customer records: names, phone numbers, emails, cities, enquiry details, and custom fields.
- Conversation history: messages across connected channels, including WhatsApp and Instagram messages.
- Call logs and recordings: call records, duration, notes, and call audio recordings.
- Follow-up history: notes, tasks, reminders, and follow-up history.
- Sales records: proposals and payment records stored in Vaalo.
- Uploaded files: documents, attachments, and media uploaded to the workspace.
- Integration credentials: access tokens and credentials stored for connected integrations (Meta, WhatsApp, Instagram, Google and others), which are also disconnected.
5. What may be retained, and why
A limited set of records is kept only where the law requires it or to prove that deletion and consent rules were followed:
- Consent ledger records: kept as deletion and consent evidence under India's DPDP Act, 2023.
- Security and audit logs: preserved to ensure platform security and accountability.
- Billing and tax records: statutory invoice and accounting records for the period Indian law requires.
Retained data is access-restricted, is never used for marketing, and is deleted when the legal period ends.
6. How long deletion takes
- Acknowledgement: within 72 hours of receiving a complete request.
- Completion: within 30 days of verifying the requester's identity.
- Backups: deleted data is removed from backups within 90 days.
- Is deletion reversible? No. Once a workspace or record is deleted it cannot be restored, and all workspace users lose access immediately.
