What is a WhatsApp CRM?
A WhatsApp CRM is a customer relationship management system with WhatsApp built in as a core channel through the official WhatsApp Cloud API. Instead of chats living on one person's phone, the whole team shares one inbox on the business number, and every conversation is saved on the customer's record in the CRM.
How it works
The business connects its WhatsApp Business account to the CRM through Meta's WhatsApp Cloud API. Messages arrive in a shared inbox, are linked to the sender's lead or customer record, and can be assigned to a team member. Approved template messages and broadcasts are sent from the CRM, and replies continue the same thread, so the full history of a relationship sits in one place.
WhatsApp Business App vs the Cloud API
The WhatsApp Business App is free and works well for a very small operation, but it lives on one phone, has no assignment, no record-keeping and no automation. The Cloud API is the version built for teams and software: several people on one number, chats attached to CRM records, template messages at scale, and a proper audit trail. A WhatsApp CRM is built on the API, not the app.
What to check before you buy one
Ask five things. Is the connection direct to Meta's official API, with no unofficial method that risks your number? Is the inbox genuinely shared, with assignment? Is every chat saved on the customer record? Are consent and opt-outs checked before broadcasts? And do leads from your other sources land in the same record, or in a separate tool?
One worked example: Vaalo
In Vaalo, a WhatsApp enquiry becomes a lead, the conversation opens in the shared inbox on the lead record, and the Greeter agent can send the first reply outside working hours. Broadcasts are checked against the consent ledger at send time. It is one example of the pattern this guide describes; the checks above apply to any vendor, including us.

Questions, answered plainly
What is the difference between the WhatsApp Business App and a WhatsApp CRM?
The WhatsApp Business App is a phone app for one business number, used by the people who hold the phone. A WhatsApp CRM connects the same number through the official WhatsApp Cloud API, so a whole team shares one inbox, every chat is saved on the customer record, and leads, tasks and payments sit next to the conversation.
Do I need the official WhatsApp API for a WhatsApp CRM?
Yes, for a team inbox you do. The official WhatsApp Cloud API is what lets several team members work on one number, lets the CRM save chats on records, and lets you send approved template messages and broadcasts. Tools that connect through unofficial methods risk the number being restricted by Meta.
