CRM buying guide for Indian businesses
Buying a CRM in India comes down to a checklist, not a demo: does it capture your lead sources natively, is WhatsApp a core channel, what is the total cost in rupees at your team size, does it handle DPDP consent, and can you take your data and leave. This guide walks the checklist, then scores Vaalo against it honestly.
The checklist
Sources first: list where your leads actually come from, and require native capture for each one. A source the CRM cannot capture is a source your team copies by hand forever.
WhatsApp: is it a core channel on the official Cloud API, with a shared team inbox, or an add-on inside a higher tier? Ask which tier unlocks it, and price that tier.
Total cost in rupees, for a year: every user who will log in, the tier you actually need, contact or usage limits, and any onboarding fees. Compare totals, not starting prices.
DPDP: does the CRM record consent, check it before marketing messages, and handle access and erasure requests? After the DPDP Act, this is a legal duty, not a feature preference.
Follow-up: who or what follows up when a person forgets? Look for assignment rules, reminders, response-time alerts, and AI help you can inspect.
Payments: can a customer pay from inside the flow, and whose account does the money settle to? Prefer arrangements where the money never sits with the software vendor.
Support and exit: who answers when it breaks, in your timezone? And can you export your leads, customers and history in a usable format and leave cleanly?
Vaalo scored against its own checklist
Sources: eight live, including IndiaMART, JustDial, Meta Lead Ads and Google Ads. WhatsApp: core, on the official API, no higher tier to unlock it. Cost: quoted per requirement, which is less convenient than a published price list, and we say so. DPDP: a consent ledger with send-time checks and rights workflows is built in. Follow-up: assignment rules, a 30-minute response target, and named AI agents included for all users. Payments: through your own Razorpay, settled to your bank. Exit: your data is yours, with exports and erasure workflows.
Where Vaalo is not the fit
Plainly: if you need a full ERP or a suite of business apps beyond CRM, Vaalo is not that product. If you need languages other than English today, Vaalo does not offer them yet. If you want a published self-serve price you can buy with a card tonight, Vaalo sells through a scoping conversation instead. A guide that hides its own product's limits is not a guide.

Questions, answered plainly
What should an Indian business check before buying a CRM?
Start with fit, not features: does it capture your actual lead sources natively, is WhatsApp a core channel or an add-on, what is the total cost in rupees at your team size including the tier you really need, does it handle DPDP consent, and can you export your data and leave cleanly if it does not work out.
How much does a CRM cost in India?
Published CRMs range from free editions with tight limits to per-user monthly tiers that grow with seats, contacts and add-ons, plus onboarding fees on some platforms. Vaalo is quoted per requirement. Whichever you choose, price the whole thing: the tier that unlocks the channels you need, for every user who will log in, for a full year.
