What is an AI CRM?
An AI CRM is a customer relationship management system where artificial intelligence does defined sales work, not just chat. Its AI greets new leads, follows up ones that go quiet, scores and prioritises lists, summarises calls, and prepares reports, working inside the same records and rules as the human team.
What AI agents do, versus a chatbot
A chatbot sits in a chat window and answers. An agent works across the CRM: it sees a new lead arrive and sends the first WhatsApp reply, notices a lead has gone quiet for three days and follows up, reads a call recording and writes the summary and the next task, or reviews a campaign and recommends a change for a person to approve. The unit of work is the job, not the message.
Control and approval patterns to look for
The questions that separate a careful AI CRM from a reckless one: Can you see what the AI did, on the record, afterwards? Which actions run on their own and which wait for a person? Do consent rules apply to AI outreach exactly as they apply to staff? Can an agent be paused or retired? A vendor that cannot answer these plainly has not finished building the control half of the product.
One worked example: Vaalo's named agents
Vaalo gives each agent a name and one job: Greeter replies to new leads, Chaser follows up quiet ones, Scout scores, Reviver re-engages old leads with consent checks, Scribe summarises calls, Analyst prepares reports, Guardian watches the first-response clock, and the Optimizer only recommends campaign changes for a person to approve. Every action is written on the lead timeline.

Questions, answered plainly
How is an AI agent different from a chatbot?
A chatbot answers questions inside a chat window. An AI agent in a CRM does defined work across the record: it greets a new lead, follows up one that went quiet, scores a list, summarises a call into notes and tasks, or prepares a report. Its actions are written on the lead timeline, so a person can see and correct what it did.
Can AI agents send messages without a person approving them?
That depends on the action and the rules you set. Routine greetings and follow-ups can run inside the rules, consent checks included. Sensitive actions should wait for a person: in Vaalo, applying a campaign change recommended by the Optimizer always needs a human approval, and any agent can be paused or retired from the agent controls.
