Automations you draw, on a canvas

A Vaalo automation watches for an event, such as a new lead arriving or a WhatsApp reply, checks conditions, and then acts: assign the lead, send a template message, create a follow-up task, wait a set time, or notify the team. You build the flow on a visual canvas, and every run is logged so you can see what happened.

What a flow is made of

Triggers that start a flow

  • A new lead arrives, from any connected source
  • A WhatsApp message is received or replied to
  • A call ends or is missed
  • A payment is received
  • A task, note or check-in event happens
  • A schedule: once, daily, weekly or a cron pattern

Actions a flow can take

  • Assign the lead, or update its fields, rating, status or list
  • Send a WhatsApp template message
  • Create a follow-up task or notify the team
  • Wait: a delay step parks the run and resumes it later
  • Call an outside system through a signed webhook or an API template
  • Append a row to a connected Google Sheet

Conditions check lead fields before a flow continues, and branches let one flow take different paths: a hot lead to a senior caller, a quiet lead into a follow-up sequence.

Drafts never run

A flow starts as a draft, and drafts never trigger. When you publish it, an explicit on/off switch controls whether it runs. WhatsApp steps check consent at send time, like every marketing send in Vaalo, and chained runs have a depth limit so flows cannot trigger themselves endlessly.

Every run is logged

Each run is recorded step by step: what triggered it, which path it took, what it did, and where it is waiting if a delay step parked it. When something looks wrong, you open the run and see exactly what happened instead of guessing.

Automation questions

What can Vaalo automations do?

A Vaalo automation watches for an event, such as a new IndiaMART lead or a WhatsApp reply, checks conditions, and then acts: assign the lead, send a template message, create a follow-up task, wait a set time, or notify the team. You build the flow on a visual canvas, and every run is logged so you can see what happened.

Do I need a separate tool like Zapier with Vaalo?

For the flows Vaalo covers, no. Lead capture from Vaalo's connected sources, in-CRM actions, scheduled messages, outbound webhooks and API calls to outside systems are handled inside Vaalo's automation builder. Businesses with unusual external stacks can still call out through webhooks and API templates.
