What is lead management software?
Lead management software captures enquiries from every source a business uses, stores them in one list, assigns each lead to a team member, and tracks follow-ups until the lead converts or closes. It exists because enquiries arrive in many places, and every hand-off between those places loses some of them.
The capture-to-close stages
Capture: the enquiry leaves its source, an ad form, a portal, a chat, and enters the system. Storage: it is kept safely before anything else happens to it. Qualification and assignment: someone owns it. Follow-up: calls, messages and tasks move it forward. Conversion: the outcome is recorded. Reporting: the business learns which sources produced revenue, and which produced noise.
The sources that matter
For most lead-driven businesses the list is concrete: Meta Lead Ads from Facebook and Instagram, WhatsApp, Google Ads lead forms, IndiaMART, JustDial, Instagram DMs, the company website, and spreadsheets the team already keeps. Software that captures only some of these leaves the team copying the rest by hand, which is where the losses the software was bought to prevent creep back in.
One worked example: Vaalo
Vaalo stores every incoming enquiry as a raw event before processing, so a failed step never deletes a lead. Duplicates are merged, leads are assigned by rules, a 30-minute first-response target runs on each new lead, and campaign reports count revenue from recorded payments only. The same pattern, capture first and process second, is worth asking any vendor about.

Questions, answered plainly
What are the stages of lead management?
Capture, store, qualify, assign, follow up, convert and report. Capture takes the enquiry from its source, storing keeps it safe even if a step fails, qualification and assignment give it an owner, follow-up moves it through calls and messages, conversion records the sale, and reporting shows which sources produced revenue.
What is the difference between a CRM and lead management software?
Lead management is the capture-to-close handling of enquiries; a CRM is the wider system that holds customer records, pipelines, communication and reporting. In practice the two overlap heavily: Vaalo is a CRM whose lead management covers capture from eight sources, assignment, follow-up and reporting in one place.
